Terms of Service

These Terms of Service govern your use of RentFlow, an equipment rental and operations platform. By creating an account or booking a rental, you agree to these terms.

1. Accounts

You must provide accurate information when registering and keep your credentials secure. You are responsible for activity under your account. Staff accounts are assigned a role that determines their access; you may not attempt to exceed your assigned permissions.

2. Rentals & Payment

Rental pricing is calculated from the equipment daily rate, rental duration, selected attachments, and delivery distance. A security deposit may be charged at booking and is refunded upon safe return of the equipment. Payments are processed by Stripe. You authorize us to charge the amounts shown at checkout.

3. Delivery & Pickup

Delivery and pickup are scheduled based on availability and distance. You must ensure the site is accessible (gates, clearance, surface) at the scheduled time. If access is unsafe or unavailable, we may reschedule or hold the delivery, and additional fees may apply.

4. Returns & Damage

Equipment must be returned in the condition received, normal wear excepted. Pre- and post-rental inspections document condition. Damage identified during inspection may be billed to your payment method. The security deposit may be held or applied toward repair costs.

5. Cancellations

Cancellation and delivery-change policies, including any applicable fees, are presented before you confirm a booking. Deposits may be non-refundable for late cancellations as stated at booking.

6. Branding, Signage & Advertising

RentFlow is a branded platform. Any signage, vehicle markings, yard signage, job-site boards, flyers, digital listings, or promotional materials you produce in connection with rentals booked or managed through RentFlow must include a visible mention of RentFlow (for example, "Powered by RentFlow" or the RentFlow name/logo). You may not present rentals as originating from an unbranded or third-party system.

RentFlow reserves the right to control, review, and approve all advertising and promotional messaging that references the platform, including the use of the RentFlow name, logo, and marks. You may not run paid or public advertising using RentFlow branding without our prior written approval, and we may require changes to ensure brand consistency and accuracy.

7. Compliance & Conduct

Staff must maintain valid licenses where required and comply with all applicable laws. You agree not to misuse the platform, interfere with its operation, or access data you are not authorized to view.

8. Liability

The service is provided "as is". To the extent permitted by law, we are not liable for indirect or consequential damages arising from use of the platform. Equipment is provided subject to the rental agreement signed at checkout.

9. Disputes

We will work to resolve concerns in good faith. Internal escalation steps are documented in the app under Org & Process. Any unresolved disputes shall be handled per the governing law stated in your rental agreement.

10. Changes

We may update these terms from time to time. Continued use after changes constitutes acceptance.
